Bitrix24 or Task Manager - what are you actually comparing?
You're comparing a package for running sales and team work with a program for tasks and communication. Bitrix24 covers, among other things, a CRM, tasks, chat, video calls and sales tools; Task Manager combines Workspace, tasks, chats, the Calendar, the Board and Notes, but doesn't replace a CRM. Picture Marek's Tuesday briefing. The salesperson needs contact history and a sales pipeline, while the project manager wants to know who's finishing the proposal on Thursday. Bitrix24 answers both questions within a broader package. Task Manager answers the second: you can split the work between Workspaces, assign people and a due date to a task, and hold the conversation in its thread.

In the Standard variant of Task Manager, attachments in tasks, chats and notes, as well as email notifications, work normally. The Pro variant adds Mail, Files, Automations, AES-256 encryption and the RAG Knowledge Base. If your team mainly works on tasks and discusses them in threads, check the Standard variant of Task Manager first.
Bitrix24's free plan is enough for a small team, but what about 10 people?
The Free plan lets you try Bitrix24 without paying, but the plan card in the current price list describes it as an offer for 1-2 users. The same page's FAQ, however, states that an unlimited number of users can be added to Free, so before planning work for 10 people you need to confirm the terms directly with the provider. The Free card lists 5 GB of storage, a basic CRM with deals and contacts, tasks, shared calendars, chat and video calls. According to the FAQ, telephony and apps from the Bitrix24 Market are only available in paid plans. It's a good set to try: on Wednesday, two employees can check whether the way Bitrix24 handles matters suits them, before the company builds its daily work around it. (bitrix24.pl)
Don't treat Free, however, as a reliable budget for Marek's whole company. Conflicting information about the number of users matters more than the word "free". If you need a paid plan for 10 people, Basic with a package of 5 seats won't be enough; the price list points to Standard, which covers 50 users. Your own server means a different decision in each program
You can run both Bitrix24 On-Premise and Task Manager on your company's own server, but they differ in pricing model and requirements. The smallest Bitrix24 On-Premise variant in the official price list is Business 50: a 12-month subscription costs €3,590. Task Manager has a perpetual licence for seats and runs on shared hosting. Bitrix24 highlights, in its On-Premise version, access to the source code and the ability to customise the program. The vendor also states a rule: full price in the first year, then an annual fee equal to 50% of the original edition price. This can make sense if you need a wide package and plan to customise it. Task Manager requires PHP 8.1 or newer, MySQL or MariaDB, and the pdo_mysql, openssl and mbstring extensions. The installer runs in your browser; you don't need Node.js, Redis, Composer or the command line. See how installation on your own hosting works.
CRON is optional: you only need it to send emails in the background while the application is closed - without it, messages still go out whenever someone is using the program, and the app warns you about this when you set a reminder. For most releases, you can download and install updates with a single click from within the program, without FTP - once you've prepared a backup of the database and the uploads directory and hold a valid licence; for some releases, the app points you to a manual route.
Your own server also means your own administrative responsibilities. Before choosing either route, check your hosting's resources and configuration. How much will three years of work for 10 people cost?
At the prices shown in the price list on 29 September 2026, three years of Bitrix24 Standard in the cloud cost 14,364 PLN, assuming the rate of 399 PLN per month with annual billing holds throughout the period. Task Manager Standard Classic costs 1,490 PLN for the licence, and with two optional update renewals - 2,384 PLN, plus hosting on top. The Bitrix24 rate applies to the Standard plan covering 50 users; the calculation does not account for future price changes. Task Manager Classic covers up to 20 active people. The first 12 months of updates are included in the licence price, and not renewing access to new versions afterwards does not block work on the version you already have. (bitrix24.pl)
If Marek also needs the shared Files drive, the Mail module and Automations, he should compare Bitrix24 with Task Manager Pro Classic at 3,990 PLN, not with Standard. Who will see the tasks when you add another person?
In Task Manager, a user only sees the Workspaces they've been assigned to; a global administrator sees and manages all Workspaces, Tasks and Chats, but does not see other people's Notes, Mail or conversations with the AI Assistant. Within a given Workspace, a person without permission to create Tasks can still read Tasks they've been added to and post in their Threads. Check team roles and permissions.
On Thursday, Marek assigns the accountant to the “Sales” Workspace but doesn't give her permission to create Tasks. The accountant can take part in Tasks she's been added to. When an employee leaves, deactivating their account frees up the seat and keeps the data; blocking cuts off access, but doesn't free up the seat.
AI Assistant on your own key, or AI features bundled in the plan?
Task Manager works without AI, and you run the optional AI Assistant on your own key; Bitrix24 offers AI features whose scope depends on the paid plan. In Task Manager, you choose OpenAI, Google Gemini, Anthropic Claude or xAI Grok and pay the model provider directly, with no mark-up from Task Manager. Using your own key doesn't mean the query stays on your server: the request, together with the necessary context, is sent to the model provider you've chosen. When should you choose Bitrix24, and when Task Manager?
Choose Bitrix24 if, alongside Tasks, you want to run sales in a CRM and use features such as a pipeline, telephony or video calls. Choose Task Manager if you already run sales elsewhere and need to organise Tasks and conversations on your own server without a per-user subscription. If Marek's salespeople need to move contacts, deals and sales conversations into the new program, Task Manager won't replace Bitrix24. If, however, they mainly need a shared work list, due dates and conversations around Tasks, paying for a wide package needs a separate justification.

What happens if I don't renew Task Manager updates after a year?
You can still work on the version of Task Manager you own; renewal only affects access to new releases. Don't confuse this with the licence key's validity: a missing, invalid or expired key puts the application into read-only mode.
