On Monday, Kasia is riding the tram back from a client's office. She coordinates work for a 14-person service company, so when a notification arrives on her phone about being added to a task, she opens the thread and writes that she'll deal with the request after 2pm. The notification arrived even though Task Manager was closed on her phone. That's how a task management app for your phone can work, once you add it using your company's own address.

Does a task management app have to be in a store?

No. You install Task Manager from the same company address you use on your computer. After installation it gets its own icon and opens in a separate window, without a browser address bar.

This isn't a separate, stripped-down program: on your phone you have your own tasks, chats and files. The app is available in the Standard and Pro variants. If you'd like to see first what Task Manager on your phone looks like, start with the feature overview; come back here with your company's address to install it.

The app's data stays on the company server that your phone connects to. So you won't find Task Manager in the App Store or Google Play. Before you start, check the address: it must begin with https://. If you see http://, ask your administrator to enable an SSL certificate - without HTTPS, your phone won't offer to install the app or enable notifications.

How do I add Task Manager to my iPhone or iPad home screen?

Open your company's Task Manager address in Safari, log in and add the page to your home screen via the Share menu. Then launch the app from the new icon - on iPhone and iPad this is a requirement for receiving system notifications.

  1. When logging in, tick "Remember me on this device".
  2. Tap the Share icon - a square with an arrow pointing up; in Safari you'll find it at the bottom of the screen.
  3. Scroll the list and choose "Add to Home Screen".
  4. Confirm with the "Add" button.
  5. Open Task Manager from the added icon, not from a browser tab.

On iOS 16.4 and newer, you can also open your company address in Chrome, Edge or Firefox. You'll then find the Share icon in the address bar or the browser menu. On older iOS, only Safari can add the app to the home screen, but notifications on iPhone and iPad still require iOS 16.4 or newer.

If notifications aren't arriving, check the icon first. Even enabled toggles in Profile won't help if you open Task Manager in Safari itself rather than from the home screen. The icon of the installed app also shows the number of unread items.

You don't need to remember the whole path. In Task Manager, open Profile → Settings → "Install as app". This section detects your phone and browser, then shows you the right steps.

How do I install Task Manager on Android?

Open your company's address in Chrome, Edge or Samsung Internet and log in with "Remember me on this device" ticked. If the browser offers to install the app, you'll find the "Install app" button under Profile → Settings → "Install as app".

If the button isn't there, open the ⋮ menu in the top-right corner of the browser. Choose "Install app" or "Add to Home screen", then launch Task Manager from the new icon.

You can add a similar icon on a computer: in Chrome and Edge via the install icon in the address bar or menu, and in Safari on macOS via File → "Add to Dock…".

When will a notification reach a closed app?

A notification will reach you even when the app is closed once the administrator enables push notifications for the company, and you allow them and enable the "Even when the app is closed" toggle on your phone. Push notifications are messages delivered by the phone's system without keeping the app open on screen.

In the app launched from the icon, go to Profile → Notifications. Allow notifications when your phone asks, enable "Even when the app is closed" and press "Send test". The test lets you check the whole notification path without waiting for someone to assign you a task.

Your phone can notify you about a new task or being added to a task, a new chat or being added to a chat, and messages in a task or chat. You'll also get a notification about a status change, an @name mention, and a shared note or file. This also applies to events triggered by Automations, the n8n integration or the AI Agent. Notifications about new Mail aren't delivered yet when the app is closed.

On Wednesday at 11:00, a technician changes the status of a ticket. The manager sees a notification on their phone and can open the task instead of calling to ask whether the work is finished. Right in the thread, they'll find the team's conversation next to the task, not in a separate string of text messages.

The notification leads to the matter where the team records the agreed details

The phone doesn't have to signal every single line of the conversation separately. A new message in the same thread replaces the previous notification. You don't get a notification about your own action. A mention in a message gives you one notification instead of two. If you're only a watcher on a task, you only get mentions.

You set the switch for activity while the app is closed separately on each device. You can turn off types of events individually in Profile → Notifications; this choice applies across all your devices. You can read more about what awaits you after opening the app in the article on the Notification Centre and unread matters.

The notification goes directly from the company's server to the browser gateway operated by Apple, Google or Mozilla. The content is encrypted with the device's key, so the gateway can't read it; the maker of Task Manager doesn't act as an intermediary in sending it.

Will a lost phone stay logged in?

Yes - a phone with "Remember me on this device" switched on stays logged in for 30 days from its last use. You can disconnect a lost phone by changing your password in Profile: changing the password logs out all devices and disconnects push notifications on them. When you tick "Remember me on this device", the app doesn't ask for a password every time you open it.

The session also renews in the background while you work. So a phone left untouched for a day doesn't have to show the login screen when you come back to it. If you don't tick the "Remember me" box, the session expires after a day, and you'll need to enter your password the next time you open the app. An administrator can also disable this option for the whole company in Settings → Advanced → Login.

In Profile → Remembered devices, you can check device names, last use and expiry dates. The "Disconnect" button removes the remembered login for one device, but doesn't disconnect push notifications on it. "Disconnect all" removes the remembered logins of all devices; you can remember up to 10 devices at once, and when an eleventh is added, the system removes the one unused for the longest. Changing a password, resetting a password and locking an account log out all of that person's devices and disconnect push notifications on them.

On Friday, Marta can't find her phone after a meeting at a client's office, so she changes her password in Profile from her computer. The phone logs out and stops receiving notifications. When Marta finds it again, she logs in with the new password.

What does the administrator need to set up before the team turns on notifications?

The administrator needs to ensure an https:// address and turn on "Enable push notifications" in Settings → Push notifications. Without this, users won't see the "Also while the app is closed" switch in their Profile.

In the same section, the administrator can enter an "App name on the phone" of up to 30 characters. If they leave the field empty, "Task Manager" appears under the icon. This is useful for someone handling several companies: each one has its own address and its own icon. On iPhone, the changed name will only appear the next time the app is added to the home screen.

On Thursday, three people report they're not getting notifications. The administrator checks under the settings fields: there they see the HTTPS status, the number of saved devices, the time the last notification reached the gateway, and the last error with its time. If the problem affects a single phone, ask that person to launch the app from its icon and use "Send test". Also check the phone's focus mode and notification settings.

The Notification Centre shows matters waiting in the app; push notifications can also arrive after it's closed

The Notification Centre gathers matters you'll see after opening Task Manager, including new messages from tasks, chats and Mail. However, don't confuse it with push notifications: an entry about an email may be waiting in the app, even though you won't get a phone alert about that email while the app is closed. You'll find detailed screens and steps in the mobile app installation guide.

What to check before leaving the office?

Before you leave, check your company's HTTPS address, launch the app from its icon and use "Send test". That's three specific checks: without a connection to the server, Task Manager doesn't work, and on iPhone, notifications additionally require iOS 16.4 or newer and the icon on the home screen.

When the phone loses its internet connection, you'll see a "No internet connection" bar at the bottom of the app, which disappears once the network comes back. Task Manager doesn't offer offline work - tasks and conversations live on the company's server, not in an offline working copy on the phone.

Tomorrow morning, ask one person with an iPhone and one with an Android to add the app from your company's address, turn on notifications and send a test. If you're also setting up your team's first tasks, use the first week with Task Manager plan. If you're still choosing software for your team, take a look at the Demo.

Frequently asked questions

Is Task Manager a task management app for your phone?

Yes. Task Manager works on iPhone, iPad and Android; you install it from your company's address, not from the App Store or Google Play. The address must start with https://.

Why aren't notifications from Task Manager arriving on my iPhone?

On iPhone, notifications require iOS 16.4 or newer and the app added to the home screen and opened from its icon. Also check the phone's permission, the "Even when the app is closed" toggle and the "Send test" button; the administrator must enable push notifications for the company first.

Does the Task Manager app on your phone work without internet?

No. It needs a connection to the company's server, and after losing the connection it shows a "No internet connection" bar.

How many devices can I remember, and how do I disconnect a lost phone?

You can remember up to 10 devices, and you can disconnect a lost phone by changing your password in Profile - this logs out all devices and disconnects push notifications on them. The "Disconnect" button on the list of remembered devices only removes the saved login of the selected device.

Can the maker of Task Manager see the content of push notifications?

No - the maker of Task Manager does not see the content of notifications and does not act as an intermediary in sending them. The notification goes directly from the company's server to Apple's, Google's or Mozilla's gateway, and its content is encrypted with the device's key.
