On Friday, Paweł is pricing software for his 15-person agency. He multiplies the monday.com price by 36 months, then checks the pricing page again: the Standard plan includes 250 automation actions per month. Will that allowance be enough for his team, and how much would a monday.com alternative on his own server cost?
What are you comparing when you look for a monday.com alternative?
You are comparing ways of organising work, where data is stored and payment models - not two identical sets of features. In this cost comparison, the team has 15 people and uses monday work management Standard or Pro, or Task Manager Classic Pro, for three years.
We include the Pro version of Task Manager in the comparison because it includes Automations. Its Classic plan supports up to 20 people. For monday.com, we show two plans: Standard, which includes automations, and Pro, which has a higher action limit. The monday.com plan names, prices and limits are taken from the official pricing page checked on 25 September 2026.
This is not a like-for-like feature comparison. monday.com offers, among other things, a Gantt view, a range of board views and apps for iOS and Android. Don’t choose Task Manager over monday.com if these are the features your company depends on.
How much will you pay for 15 people over three years?
At the rates in the official pricing, monday work management Standard costs an indicative €6480 for 15 seats over 36 months, while Pro costs €10,260. Task Manager Classic Pro costs 3 990 zł upfront, or 6 384 zł over three years if you renew access to updates twice.

The monday.com prices in the table are monthly per-seat rates with annual billing, multiplied by 15 and 12 months for each year. This does not mean you will receive a monthly invoice. The calculation excludes tax, price changes, promotions and any difference between the assumed 15 paid seats and the bundle available at the time of purchase. monday.com notes that the final price depends on the billing country and is shown before payment. We have not converted euros to złoty, as the exchange rate would change the comparison.
Add your company’s hosting costs to the Task Manager price - you may already be paying for it, but don’t assume it’s free. Remote installation is included in the Classic plan. A monday.com subscription, on the other hand, does not require you to maintain an application server; with a Task Manager licence, you pay upfront and are responsible for your own environment.
Not renewing updates does not disable Task Manager or block anything in it. After the first 12 months, you can continue working with the version you have without paying for new releases. Read-only mode applies when there is no valid key or a time-limited key has expired. Each seat is taken up by an active account; deactivate a user to free up a licence seat, and their data remains. Will monday.com’s automation limit be enough for an agency?
The monday work management Standard plan includes 250 automation actions per month, while Pro includes 25,000. To work out which limit will suit your agency, count the actions its rules perform each month and compare the total with the allowance. The official pricing page lists separate limits for integration actions. (monday.com)
On Friday, Paweł writes down a simple example: the agency handles 80 new enquiries each month, and wants to create a task and send a notification for each one. That does not automatically mean 80 actions - it depends on how the rules are set up and which actions they perform. Before buying, map out your most common scenarios and check their usage against monday.com’s rules, rather than assuming that one enquiry always equals one action.
In Task Manager, the licence plan does not set a limit on the number of recipes or standard runs.
A rule you can test before running it
On Monday, Kasia sets up a recipe: WHEN a new email arrives in her inbox, IF the “AI evaluates” condition identifies a complaint, DO create a task in the Sales workspace with high priority and send a notification. A recipe can have up to 10 actions, carried out one after another. The AI condition evaluates the sender, subject and part of the message, among other things, but it does not read the contents of attached files.
Kasia clicks Test first. She’ll see what would happen based on recent events, without creating a task or sending a message. Once she activates the recipe, she can check runs, skips and errors in the 30-day history. She can also describe her idea to the AI Assistant: the draft it prepares remains unsaved and disabled until she reviews and saves it herself. Find more examples in the Automations overview.
Automations, like Mail, are part of the Pro plan. If you used Pro and later switched to Standard, your recipes remain saved but are paused; re-entering your Pro key restores them. AI requests have a separate daily limit set by the administrator in Settings → AI - 200 by default, while a value of 0 disables the limit. Using a model may therefore incur a cost from its provider, even though regular runs are not counted as action bundles in Task Manager’s pricing.
Will Board replace your monday.com view?
Task Manager’s Board replaces an overview of work divided into projects or departments, but not a board with columns representing successive process stages. In Task Manager, each column corresponds to one workspace, and contains the Favourites, Tasks and Chats sections; monday.com lets you build boards around your own way of working.
When Marta opens Board on Wednesday, she sees the New website, Marketing and Sales workspaces side by side. Red indicates an overdue item, blue - one due today, and green - one that is on track. Marta drags the Marketing column to the front, and the layout is saved for her. If she moves a task within a column, she only changes the display order, not the due date or status.
Clicking a task docks Board on the left and opens its thread beside it. That’s where the team discusses their work, using mentions, reactions, quotes and attachments. If your projects rely on custom stages and many tailored views, monday.com’s more flexible board may be a better fit. Where will your data be, and who will maintain the app?
Task Manager application data stays in a database on your own hosting, while monday.com runs as a cloud service. Your own server gives you control over where the app is installed, but means your company is responsible for maintaining the hosting and updating the application.
Task Manager consists of PHP files and a MySQL database; standard shared hosting with PHP 8.1+ and MySQL or MariaDB is sufficient. You run the installer in your browser. The browser downloads libraries, fonts, icons and avatars from your server, not from third-party servers. However, this does not mean that every type of data always stays on your server: if you enable the AI Assistant, the request and its context are sent to the provider of the selected model.
The AI key is yours. Choose OpenAI, Google Gemini, Anthropic Claude or xAI Grok and pay the provider directly, with no Task Manager mark-up; you can also work without AI. The administrator checks, downloads and installs updates in the app, although some releases require a manual FTP process. With monday.com, there’s no need to maintain your own installation. That’s a real convenience if you don’t want to deal with a server, even if it means accepting a subscription and storing your data with the provider.
When should you choose monday.com, and when Task Manager?
Choose monday.com if you need configurable boards, a Gantt view, time tracking, a wide range of integrations or iOS and Android apps. Choose Task Manager if your priorities are your own server, a one-off licence, conversations alongside tasks and Automations without a monthly action bundle in the pricing.
Paweł shouldn’t choose based only on the price in the table. If his agency needs views that Task Manager doesn’t offer - such as a Gantt chart or team workload view - or relies heavily on connecting external services, monday.com’s capabilities may justify the subscription. If Paweł’s agency expects to keep a similar team for years, wants to keep application data on its own hosting and manage discussions in task threads, Task Manager is a better fit. Is Task Manager available in Polish?
Yes, the interface and all 20 chapters of the user guide are in Polish. This makes it easier to onboard a team that wants to work without translating feature names.
What happens if I don’t renew Task Manager updates?
Task Manager will continue to run on the version you have, but you will not get access to new releases. Read-only mode applies when there is no valid licence key or a time-limited key has expired, not simply because you have chosen not to renew updates.
