You install Task Manager on your phone like any other app: it gets its own icon on the home screen, opens in a separate window without an address bar, and notifications arrive even when it's closed. It's the same program as in your browser, with your tasks, chats and files - not a separate "mobile" version.
Don't look for Task Manager in the App Store or Google Play. You install the app from your company's address (the same one you use to log in on your computer). That way your data stays on your company's server, and the phone connects only to it.
Before you start
- The app address must start with
https://. Underhttp://the phone won't offer to install or send notifications - ask your administrator to enable an SSL certificate. - Notifications while the app is closed are enabled for the whole company by the administrator (see "For the administrator" below). Without this, the app still works, but notifications only arrive while it's open.
- On iPhone and iPad, notifications require iOS 16.4 or newer.
The simplest way to start is Profile → Settings → "Install as app". This section detects your phone and browser and shows the steps that apply to them. The same steps are below in writing.
Installing on iPhone and iPad
- Open the Task Manager address in Safari and log in. On iOS 16.4 and newer, Chrome, Edge and Firefox also work (the Share icon is then in the address bar or in the browser menu).
- When logging in, tick "Remember me on this device".
- Tap the Share icon (a square with an arrow pointing up; in Safari it's at the bottom of the screen).
- Scroll the list and select "Add to Home Screen".
- Confirm with the "Add" button.
- From now on, open Task Manager from the new icon, not from the browser. The added app shows the number of unread items on its icon.
This is a requirement for notifications to work. On iPhone and iPad, system notifications are only delivered to an app added to the home screen and opened from its icon. Without this step, you could have every toggle in your Profile switched on and still receive no notifications.
Can't see "Add to Home Screen" in Chrome or Firefox? On iOS older than 16.4, only Safari can add the app - open the same address there.
Installing on an Android phone
- Open the Task Manager address in Chrome (or Edge, Samsung Internet) and log in with "Remember me on this device" ticked.
- The browser usually offers the install itself - in that case you'll see an "Install app" button under Profile → Settings → "Install as app".
- If there's no button: the ⋮ menu in the top right corner → "Install app" or "Add to Home screen".
- Open Task Manager from the new icon.
Notifications on your phone
- In the app opened from the icon, go to Profile → Notifications and allow notifications when the phone asks.
- Turn on the "Also when the app is closed" toggle (visible once the administrator has enabled push notifications).
- Tap "Send test" - a test notification checks the whole route right away.
Your phone receives: new task and being added to a task, new chat and being added to a chat, new message in a task or chat, task status change, mentions (@name), and having a note or file shared with you. You can turn off each type separately in Profile → Notifications. You won't get a notification about your own actions, and a further message in the same thread replaces the previous notification instead of adding another one. Notifications about new mail while the app is closed don't arrive yet. See the "Notifications" chapter for details.
You set the toggle separately on each device - your phone and computer can have different settings. Logging out disconnects notifications on that device; after logging back in, switch the toggle on again.
Logging in on your phone
Ticking "Remember me on this device" means the app won't ask for a password every time you open it. The device is remembered for 30 days from last use - it's enough to open the app once a month. An expired session renews itself in the background even while you're working, so a phone left aside for a day will carry on working when you come back, with no login screen.
Without this option, the session expires after a day and the phone will ask for a password the next time you open it.
Lost your phone? Change your password in Profile on your computer - changing the password will log out all devices and disconnect push notifications on them. You'll then log in with the new password on your devices. The list in Profile → Remembered devices shows where you're remembered; the "Disconnect" button next to a device only removes its remembered login (notifications on it remain).
Without internet
The app needs a connection to your company's server - there's no working offline. When your phone loses signal, a "No internet connection" bar appears at the bottom of the screen. It disappears on its own once the connection returns.
Several companies on one phone
Each company has its own address, so each installation is a separate app with its own icon. To make the icons easy to tell apart, the administrator can give the app a name shown under the icon (see below).
For administrators
Settings → Push notifications (administrator only):
- "Enable push notifications" - without this, no user will see the toggle in their Profile.
- "App name on phone" - optional, up to 30 characters. It will appear under the icon on the phone's screen. An empty field means "Task Manager". On iPhone, a new name only applies to future additions to the home screen.
- Below the fields you can see the status: whether the server is running over HTTPS, how many devices are registered, when a notification last reached the gateway, and what the last send error was, with its time. This is the first place to check when someone reports that notifications aren't arriving.
When something doesn't work
- The phone doesn't offer to install - check that the address starts with
https://. On an iPhone with older iOS, use Safari. - Notifications aren't arriving - open the app from its icon (not the browser), check the "Also when the app is closed" toggle in your Profile and tap "Send test". Also check whether the phone has Focus mode or notification muting turned on for this app. If no one in the company receives the test, the administrator should check the status in Settings → Push notifications.
- Notifications went quiet after a password change - that's intentional: changing your password disconnects all devices. Log in again in the app on your phone - the device record will come back on its own.
- The app asks for a password every time it opens - log in with "Remember me on this device" ticked. If this option isn't there, the administrator has turned off this feature in Settings → Advanced → Login.
Uninstalling
- iPhone and iPad - press and hold the icon and choose "Remove App".
- Android - press and hold the icon and choose "Uninstall" (or drag the icon onto "Uninstall").
Your data stays on the company's server - after reinstalling, you'll see everything just as before.
