The Notification Centre is a small, dark “island” at the edge of the app. It gathers all notifications from outside the app: new messages, @mentions, new emails, new tasks and chats, status changes and reminders. Short app messages (such as “Saved”, errors and sending progress) appear in the same style - as dark pills emerging beside the Island; those with buttons appear on a larger card. Messages about your own actions don’t increase the notification count.

How to read the island

  • A thin line at the edge (notch) - all quiet, with nothing unread. The Island stays hidden so it does not take up space.
  • A flowing coloured line - you have unread notifications and the Island is hidden. Hover over the edge (or click the line) to bring it back.
  • Counter pill - the number of unread items. Hovering over it shows a breakdown by category, each with its own icon and colour: ✉ mail · ☑ tasks (new items, status changes and approaching due dates) · 💬 conversations (chats and task threads) · @ mentions · 📅 calendar (events and reminders) · 👥 shared (a note or file someone has shared with you by name) · ✨ AI Assistant (suggestions and replies received while the window was hidden) · ⭐ Open Space (points earned, streak bonuses and promotions in the team game) · ⬇ updates (a new version of the programme ready to install - clicking the entry opens Settings → Updates; this category is visible to administrators only. Once the version is installed, the entry disappears automatically - even if someone else installed the update). Hover over an individual chip to reveal its label (for example, “Mentions”) - no need to guess what the icon means. Clicking the pill opens the list panel.

What the counter shows

The counter on the pill tells you how many items are waiting - and it is the same number shown on the installed application’s icon. It includes:

  • unread threads: emails in inboxes, tasks and chats with new messages - exactly the numbers shown next to inboxes and Workspaces in the left-hand column (including older unread items from before the application was opened),
  • other notifications: mentions, calendar reminders and events, shared notes and files, AI Assistant suggestions, Open Space and an update ready to install.

In the panel, the first rows are summaries: "Mail - 11 unread messages", "Tasks - 2 tasks with new messages". Clicking such a row takes you straight to the target: Mail opens the "All" inbox. When there's just one task or one chat waiting, it opens right away (even from a different workspace). When there are several, the list switches to "All" and narrows down with the "New messages" filter (a dot next to the Filters icon reminds you the list is narrowed - one click on "Reset" restores it). Below them are regular notifications, each with its own time.

“Mark as read” clears notifications straight away. For summaries (Mail, Tasks, Messages), it asks: “Mark 12 messages in Mail as read?” Once confirmed, the messages are actually marked as read - along with the counters beside mailboxes and Workspaces in the left-hand column. If you have a category tab selected, the prompt and action apply to that category only, so one click will never clear more than you can see on screen. The prompt is there for a reason: this changes the mailbox, rather than just clearing an entry from the Island - clicking “Cancel” leaves everything as it was.

Notifications disappear once the matter is dealt with. Opening a task thread, chat or email removes its notifications from the Island - “Mark as read” in the list works the same way. Mail: the Island only reports emails you haven’t read yet. A message read in the meantime (including in webmail or on your phone) won’t trigger a notification, and an entry for a thread read elsewhere disappears the next time the Mail list refreshes. Notifications older than a week disappear automatically when you launch the app. That way, the counter shows what’s actually waiting for you, not a history of recent days.

App icon badge. If you use Task Manager installed as an app (in its own window - select “Install” in your browser), the number of outstanding items appears in a red badge on the Dock icon (macOS) or taskbar icon (Windows), as it does in messaging apps. The badge counts unread tasks and chats, as well as unread emails (the same items shown on Workspace and mailbox tiles), plus Island notifications not included in any of those counters: calendar reminders, shared notes and files, Assistant suggestions and available updates - in other words, exactly the same as the Island counter. It disappears when there’s nothing left to check. Note: the count updates while the app is open; after you close it, the last known value remains until you launch it again. There’s no badge in a regular browser tab - this feature is only available in the installed version.

  • Notification card - when something new arrives, the Island turns into a single line for a few seconds: who · what. The ↗ icon opens the source, while the clock icon postpones it (the notification remains in the panel). Hovering over it stops it from disappearing.
  • Panel - a list of unread notifications. Clicking an item opens what it relates to: a task or chat thread, a message in Mail, the Calendar, a note in the Notes window, Files under “Shared with me”, or the AI Assistant window. The item disappears from the list (read items don’t stick around).
  • Panel tabs - a row of filters appears below the heading: All and one for each category with notifications. Clicking a chip on the pill opens the panel directly to that category (for example, click “Tasks” to see tasks only), while clicking the circle or an empty part of the pill opens “All”. When a category is empty, the panel automatically switches back to “All”.
  • “Mark as read” clears what you’re currently viewing: only the selected category if you’ve chosen a tab, or the entire list if you’re on “All”.

What you will not find in the Island: items shared with an entire Workspace (by definition, they concern everyone, so they would only create noise) or your own actions. You can disable any category under Settings → Profile → In-app notifications.

Island position

By default, the Island sits in the centre of the top edge, above the open thread. In the panel footer, you will find a position icon - each click moves the Island: top → right side → bottom. Your choice is remembered in this browser. On mobile, the Island is always at the top.

Useful details

  • When you are writing a message, cards do not pop up - the Island simply updates the count quietly.
  • The Ctrl+. shortcut shows and hides the Island.
  • The down arrow icon (in the panel footer) hides the Island in the notch whenever you want.
  • Unread notifications are stored in this browser (up to 100 items).
  • Browser system notifications (push notifications) continue to work as before - the Island does not replace them, but complements them while the application is open.

Brain keeps track of your day

The Notification Centre automatically reminds you about what you have planned - without any action on your part:

  • 15 minutes before a calendar event, you’ll receive a card, and a small countdown pill will appear beside the Island (for example, “16:00 · in 12 min”). Clicking the pill opens the Calendar; it disappears when the event starts.
  • When an event starts, the Island shows a “Now: ...” card.
  • An hour before a task is due, a card will remind you - click it to open the task. A task with a date but no time is treated like a calendar event, so it’s due at the end of the working day: the reminder arrives at 16:00 and the card says “today · no time”.
  • Morning briefing - once a day, the first time you open the app after 6:00, a “Good morning” card appears. Below the date is a one-sentence summary (“Today: 3 due dates and 2 events”), followed by a list of items sorted by time: the icon shows whether it’s a task or event, and the time appears on the right. Every row is clickable - a task opens its thread, and an event opens the Calendar. If there are more than four items, the last row (“+ 2 items in Calendar”) opens the full day view; the “Calendar” button does the same. The briefing doesn’t appear if there’s nothing scheduled.

All these reminders also appear in the list in the Island panel, so nothing gets lost, even if a card disappears unnoticed.

When you’re in another browser tab, there’s nowhere to show the notification card, so the reminder is sent as a system notification (the one that appears in the corner of your screen). You need to grant permission once: Settings → Profile → Browser notifications. Without permission, the reminder waits in the Island list and you’ll see it when you return to the app. If the app is completely closed, email is the only channel - tick “Also send a notification by email” for the event (background sending is handled by CRON, which the administrator sets up once for the entire installation).

AI Suggestions

When the administrator enables this feature (Settings → AI → “AI suggestions in the Notification Centre”), AI periodically reviews your recent conversations and highlights things that may need attention - for example, a request with a due date that nobody has replied to, or a task that has stalled despite an approaching due date. A suggestion appears as a card with a live orb and two actions: ↗ opens the related task or chat, while the clock postpones it for 2 hours. AI only reads threads you’re participating in - never anyone else’s private replies or anyone’s mail.

AI Assistant avatar

The AI Assistant now has one consistent, animated avatar throughout the app - the same animated sphere that lives in the Island. You’ll see it next to AI replies in Threads, in the Assistant window and on the “AI Assistant” / “Organise” buttons next to the reply box. Private AI Assistant (a conversation visible only to you) has a purple sphere with a ring, so you can tell at a glance which reply is just for you.
