How does the Assistant create tasks in Task Manager?
The conversation ends, the agreement stays in your head, and the task form is waiting to be filled in. The AI Assistant in Task Manager shortens that process. You tell the Assistant: “Add a task called Nord proposal revisions, due by Friday”. The Assistant opens a new task form with the fields filled in. You check the details and save the task.
The Assistant doesn't save the task itself. The final click is yours. If the details don't match the arrangements, you don't save the task.
Editing works similarly: "Edit task Corrections to the Nord offer" opens the edit form. The command "Change status of task Nord to done" works differently: the form doesn't open, and the Assistant asks for confirmation. After clicking "Yes, do it", the status changes, and the change is visible in the task's thread.
Exactly what you'll find in the form
A subject is required and can be between 1 and 255 characters long. You can add a description in the text editor. There are two priority levels: normal and high. You can set a due date without a time. Without a time, the task remains “due today” all day and only becomes overdue the following day. The form also includes the people assigned to the task.
The task is created in the workspace selected in the left-hand column. Every person being assigned must have access to it. The programme checks the access of the author and the assigned people when saving. If you don't have permission to add tasks for others, "only for yourself" mode applies: the task is assigned to you only.
After you save, the people assigned receive an email about the new task if they have enabled this notification. The author doesn't receive one. If the task has a due date, a circle showing the number of days until it's due appears next to it in the list: green for a due date in the coming days, blue for today and red for a past due date. Tasks without a due date don't have a circle, while completed and cancelled tasks have a grey badge. The Assistant also lets you know about overdue tasks.

What do you gain?
You create a task during the conversation instead of going back over the details after you hang up. If someone interrupts your work, you don't have to rely on your memory of what you just promised the client.
You're less likely to put small agreements off until later. One sentence is enough to prepare a task, so it's easier to keep things on your list that would otherwise stay in your head.
You stay in control of what gets shared with the team. You can check the details and correct any mistakes before saving. No one will be notified about a task you haven't approved yet.
A sales representative after a client call
The call lasts twenty minutes and ends with three things agreed: revise the proposal by Friday, send references and arrange a meeting for the following week. If you don't write these down, it's easy to follow up on just one and leave the others in a notebook or in your head.
With the Assistant, you give it each item one at a time, in a single sentence. Each time, you check the open form before saving the task. Once you've saved them, you have three tasks instead of one. In the list, a task with a due date has a circle showing the number of days until it's due; hover over it to see the exact date without opening the task.
Frequently asked questions
Does the Assistant save the task itself, or just prepare the form?
The Assistant opens a new task form with the fields pre-filled. You check the details and click “Save” before the task is shared with the team.
Which workspace will a task created by the Assistant be added to?
The task will be created in the workspace selected in the app's left-hand column. Everyone assigned to it must have access to that workspace. The app checks this when you save.
Can the Assistant also change existing tasks?
Yes. The instruction “Edit task X” opens the edit form, while “Change the status of task X to done” changes the status without opening the task. A status change adds a system message to the thread with the full name of the person who made it. The message is also created if the status was already the same.
Will the person I assign the task to be notified?
Once the task is saved, the app emails the people assigned to it if they have notifications for new tasks enabled. The task author doesn't receive this email.
