What is PDF export in Task Manager?
PDF export in Task Manager lets you save a thread summary or task report prepared by the Assistant, as well as export an individual message or note. You can use the document when preparing a proposal or a case file. There is no need to take screenshots or copy the content into Word.
There are two ways to create a file. You can ask the Assistant: “Prepare a PDF with a summary of task X6”. AI writes the content, while Task Manager assembles the file and adds a “Download” button. You can also export a specific item: a message from a task, chat or Mail, or a note. Choose PDF, Word or plain text from the menu for that message or note.
The division of responsibilities matters: AI prepares the content, while Task Manager assembles the document. The file is created even if the model “forgets” to specify the format.
How is the file created, and what does it contain?
When you ask the Assistant for a document, clearly say that you want to create a file and specify the format. “Prepare a PDF with a summary of this thread” is enough. A passing mention of a PDF does not trigger file creation.
When you export a single message or note, bold text, italics, lists and headings are preserved. The app adds information at the top of the document about who wrote the content and when, and which thread or inbox it came from. This makes it easier to identify the document’s source after downloading it.
If you're reading a thread in “Polish”, “Summarise” or “Expert” mode, the PDF export contains the version of the message shown on screen, not the original from the database. The header then states that the content was prepared by AI and names the mode. This lets you tell the edited version apart from the original.
The download link contains a token. The token alone isn't enough: the program checks whether you're logged in and have access to the file's source. The mailbox stays private even from the administrator. The link works for 24 hours by default. After that it expires and the file has to be generated again.
What do you gain?
When a client asks you to summarise what was agreed, you don't have to start with a blank document and copy the conversation. You get a summary file to download instead. You spend less time reconstructing what has already been recorded.
When preparing correspondence for a case file or a proposal, you don't need to collect screenshots. You can save a specific message as a separate document instead of manually copying it into a file. It's easier to find the section you need without searching through images of the entire conversation.
A law firm adding correspondence to case files
A solicitor handles a case in one thread, recording agreements with the client, questions and decisions. Three months later, they need documents for the case file. Without export, they have to copy messages and make sure they don't lose the dates or the source of the correspondence.
They can export messages individually, each as a separate PDF. Every PDF of an exported message has a header showing the author, date and source. They can also ask the assistant for a task summary in PDF format.
If the solicitor is viewing an AI-summarised version of the thread, that version is what goes into the exported message file. The header states that the content was prepared by AI and names the mode. This makes it clear whether the solicitor is sharing the original or an edited version.
