Between the end of August and 20 September, 28 versions of Task Manager were released, from 2.2.340 to 2.2.367. When Paweł logs in on Monday morning, he immediately sees the new blue interface. If you are wondering what's new in Task Manager, the colour change is only the beginning.
Blue has replaced turquoise, while green now indicates due dates
Task Manager's primary colour is now blue #4B72CD, while green is reserved for tasks that are on schedule. This prevents the interface colour from competing with due date status information.
Buttons, links, selections, sliders and default avatars for people without a photo are now blue. The same colour scheme applies to the task list, Board and Calendar: red means overdue, blue means due today, green means on schedule, and grey means there is no due date or the task is closed.
The logo on the login screen and under Settings → Help has also changed. The same logo is now used for the favicon - the small website icon displayed in places such as browser tabs - as well as mobile app icons and notification emails. In Automations, the trigger is blue, the condition is purple and the action is amber.
The ring has replaced the cascade of three bars. It rotates while the AI is working and remains as an avatar once the response is ready. You will see the same indicator in chat threads, next to the Organise function and at the centre of the Notification Centre island.
The AI Assistant can visit a client's website if you allow it
Since version 2.2.352, the AI Assistant can retrieve content from a public website you specify. It can also check the domain associated with an email address.
Karolina runs a recruitment agency in Poznań. On Monday, she has six enquiries from unfamiliar companies, so instead of opening six tabs, she writes: “Find out what the company Nord from this email does”.
Internet access is disabled by default. The administrator grants it to specific people in the Users window using the “AI Assistant with internet access” toggle. The administrator always has this permission.
The Assistant retrieves content from the specified public page at an http or https address, with time and size limits on downloads. It treats website content as data, not instructions. The downloaded page makes the request sent to the model provider larger, so it uses more tokens from the client's key. Tokens are the units model providers use to measure the length of processed content. Our guide to using your own AI key in your company explains how billing works.
Plan first, then create the Automation
When you ask the Assistant to create an Automation, you first get a plan in WHEN / IF / DO format. The plan specifies details such as the Workspace name, folder and notification recipient. The “Go to Automations” card opens a ready-made draft, and you can make changes with a simple sentence, for example: “change the folder to Invoices”. This is how automation described in plain language works, starting with version 2.2.350.
When you select a folder as a knowledge source, the Assistant will include notes and files. Next to Documents and Workspace, you will see the number of sources selected one level below. The Assistant's threads remain private - even the administrator cannot see them.
In version 2.2.367, the form created with the command “Create a task for Marek” correctly selects the specified person, even when someone else has an absence badge. The issue where the button for closing windows disappeared after an Assistant action has also been fixed.
Start Automations with a template, not a blank screen
Since version 2.2.364, the “+” menu in the Automations window opens a catalogue divided into five categories. Automations, Mail and Files are available on the Pro plan.
The categories are: Sales and leads, Mail and documents, Customer service, Team and due dates, and Management and review. A template opens as an unsaved draft where you fill in one or two fields, such as a Workspace, chat or reference number, then save it and use the toggle to enable it.
The new templates cover seven scenarios:
- a lead from a form creates a note with an AI report in the Leads folder,
- a new lead creates a follow-up task due tomorrow,
- an invoice from an email is saved in the Invoices/year/month folder, with any missing folders created automatically,
- case documents with a reference number in the subject line are saved to the archive in Files,
- a complaint creates an urgent task with a notification,
- a chat message containing the words “failure”, “urgent” or “not working” creates a high-priority task,
- on Friday, AI prepares a weekly summary in the selected chat.
Tomek runs a bicycle parts shop. On Friday, he selects the “Form lead” template, fills in the Workspace in the draft, checks the recipe using the “Test before enabling” button, and only then turns it on with the toggle. We show a similar process in the example of keeping track of form leads.
Since version 2.2.363, a new email can create a task with a due date and an assignee, add an AI summary to the thread, and save attachments in Files. A badge with the message subject links to the original correspondence and is visible only to the mailbox owner.
Since version 2.2.353, the “Write a message with AI” block can retrieve the content of a web page during a run. This requires the recipe owner to have internet access permission. The limit is 2 retrievals per run. Each subsequent AI round uses the daily Automations budget.
Since version 2.2.345, the “Create a note” action has a “folder” field: enter a path using slashes, use date variables if needed, and any missing folders will be created automatically. The {{ai.odpowiedz_html}} variable inserts the result of the AI block with formatting such as headings and lists, while {{ai.naglowek}} contains the first line of the report, so the note can be named, for example, “Nordbud - Anna Kowal” rather than using the date. AI blocks can also read HTML emails from contact forms, and the content limit has increased from 500 to 4000 characters.
Before running it, click “Test before enabling”. The button shows the expected outcome without performing any actions. The run history covers 30 days and records reasons for skipped actions and any errors.
Mail shows new messages without refreshing
Since version 2.2.358, new messages are added to the list without manually reloading the page. The list and the open Mail window update during the next notification check, even if you have disabled mail notifications in your profile.
Your mailbox remains private, even from the administrator. Task Manager does not delete messages from the mail server, and disconnecting an account removes only the local copy from the application.
Sorting and dragging take fewer steps
The Board reverses the section order when “Chat first” sorting is selected, while sorting from the menu in Files also organises folders, tasks, chats and notes. When dragging, the item preview stays with the pointer and does not narrow the right-hand column.

On Tuesday, Marta schedules five tasks by dragging them from the list to the grid. Since version 2.2.367, the preview of the dragged item stays with the pointer, the right-hand column does not narrow, and Calendar scrolls to another period only after the pointer pauses at the edge. Times snap to 15-minute intervals, and Ctrl+Z can undo up to 20 changes. You can find more options on the Calendar feature page.
AI Assistant fills the entire screen on mobile
Since version 2.2.365, AI Assistant uses the entire conversation screen on mobile. Open the thread list using the icon in the bar, and the application displays it as an overlay.
- the sorting, visibility and search menu fits within the screen,
- Notes first displays a full-screen location selector, followed by the list,
- a longer notification uses the full width of the screen instead of wrapping text inside a narrow pill.
You can install Task Manager as a PWA, which is a website that runs in its own window and has its own icon. This requires an HTTPS connection.
Version 2.2.357 removes blocking while AI is running
Version 2.2.357 moved longer AI Automations to the background, so the application no longer waits for the process to finish. If you update Task Manager infrequently, plan to upgrade to at least this version.
In versions 2.2.353-2.2.356, AI Automations ran as part of the notification request. In Chrome, they could use up the connection pool, which is the browser's limit on simultaneous connections to the server, leaving the application stuck on the “Loading…” message.
After the fix, the server responds to the notification request immediately, while the AI Automation runs in the background. Its results appear several seconds later. Version 2.2.347 also fixed the buttons in Updates after manually uploading a package via FTP and added a specific reason to the tooltip for the “Blocked” status.
Run updates from Settings
The update is carried out by the administrator in Settings → Updates, and the application doesn't install anything on its own. You can usually install the package without FTP, but the administrator deliberately triggers each operation.
- Click the cogwheel, open Updates and select “Check for updates”.
- Click “Download” next to the nearest version. The application will remind you to back up the database and the
uploads/folder. - After the package is downloaded, an "Install" button appears - click it. The progress bar shows database migrations, file copying and finalisation, and at the end, an "Refresh application" button.
- If the release requires manual action, the application will save a
.zipfile and display upload instructions.
The installer skips includes/config.php, uploads/, storage/ and logs/, so it does not overwrite the configuration or data in these directories. You should still back up the database and files before installation. Versions are installed in sequence, although not every version number has a separate package, and you need a valid licence to download them.
The Task Manager licence is perpetual and paid for once. It includes 12 months of access to updates. You can then purchase an annual renewal, for example 447 zł for the Classic plan in the Standard variant. Alternatively, you can continue using your current version without any additional fees. Not renewing does not block the application, but it does end access to new packages. The perpetual licence page provides more details.

Yes, because the content of the downloaded page makes the request sent to the model provider larger and uses additional tokens. You pay the provider directly, with no Task Manager mark-up.
Why can't I see the template catalogue, Mail or Files?
Automations, Mail and Files are available in the Pro variant. The administrator can additionally revoke access to Mail and Automations for selected people. The Pro variant also includes AES-256 content encryption and the AI knowledge base, i.e. an index of company materials from which the Assistant picks information for its answers on its own. Mail templates are hidden without access to Mail, and templates using AI require a configured key.
Will updating from 2.2.340 to 2.2.367 delete my recipes?
No, the installer skips the configuration and directories containing application data. Before updating, you should still back up the database and the uploads/ folder, and install the available packages in sequence.
What should I do if the application gets stuck on the “Loading…” message?
Check the version number and update the software to at least 2.2.357. The issue occurred in versions up to 2.2.356 when using Automations with AI blocks: in Chrome, it exhausted the connection pool and left the application stuck on the “Loading…” message.
Do I have to pay for every new version of Task Manager?
No, the licence price includes 12 months of access to updates. After that, you can purchase an annual renewal or continue using the installed version at no extra cost.
