Since the end of August, we have released 28 versions of Task Manager - from 2.2.340 to 2.2.367. You will notice several changes as soon as you sign in: a different colour, a new logo, an AI Assistant that can access websites, and automations that you can enable from a ready-made template in a minute. Below are the changes that matter to you and your team, grouped by area.

New colour, new logo and AI ring

The most visible change arrived with version 2.2.366. The app’s primary colour - used for buttons, links, selections, sliders and default avatars for people without a photo - has changed from turquoise to blue #4B72CD. It is from the same blue family used on taskmanager.pl - the app and website finally look like one brand.

Green remains, but it has one purpose: it indicates a “task on track” - on the bar and day badge in the task list, on the “On time” tile and in Calendar. Everything else, including success messages, is blue. When you see a flash of green in the list, you know it relates to a due date.

There is also a new logo - the Task Manager | Blue Creation Group mark on the sign-in screen and under Settings → Help. We redesigned the favicon, mobile app icons and notification email logo using the same mark.

The ring next to the “Thinking…” indicator is the new symbol of the AI Assistant - it rotates while the AI is working. You will see the same symbol in chat threads, when organising a thread and at the centre of the notification island.

The AI Assistant also has a new symbol. In the screenshot above, you can see it in the Assistant window: Ola asks for a daily plan, and a colourful ring has replaced the old icon next to the “Thinking…” indicator. The cascade of three bars has been replaced by a ring that rotates around its axis while the rainbow moves in the opposite direction - it appears as the Assistant’s avatar next to a completed response and spins while the Assistant is working. The ring also serves as a progress indicator: it spins in the Assistant window, in chat threads, when you select “Organise thread” and at the centre of the Notification Centre island. One symbol, one meaning: AI is working on something for you.

The condition in Automations is now purple (the trigger is blue and the action is amber), so you can distinguish the three roles at a glance.

AI Assistant: internet access, automation plans and knowledge sources

The Assistant has received the most improvements in this release cycle.

The Assistant can access a website (2.2.352). Until now, it only knew what was available in Task Manager. It can now download content from a public website you specify - or check whether the domain in a lead’s email exists and what the company does. Access is disabled by default; an administrator enables it for specific people in the Users window using the “AI Assistant with internet access” switch. Administrators always have access, without using the switch. Only public http/https addresses can be downloaded, with size and time limits, and the website content is treated as data for the model, not as instructions.

Example: Karolina from a recruitment agency in Poznań receives an email from a client, Nord, asking for a quote. Instead of opening a browser, she writes to the Assistant: “Find out what the Nord company from this email does” - and gets the answer in the thread, next to the task.

You see an automation as a plan first (2.2.350). When you ask the Assistant to create an automation, it responds with a step-by-step plan: WHEN (event) / IF (condition) / DO 1-2-3, including specifics - which workspace, which folder and who receives the notification. Below the plan is a “Go to Automations” card that opens a ready-made draft. To make changes, simply reply: “change the folder to Invoices”. Knowledge sources now include notes (2.2.359-2.2.361). If you select a folder as a knowledge source for the AI Assistant (e.g. “Leads”), it now reads notes as well as files. “Documents” and Workspaces also show the number of sources selected one level down.

“Create a task for Marek” selects Marek again (2.2.367). When an AI Assistant command opens a new task or chat form, the person mentioned by name is selected correctly - even if someone else on the team currently has an absence badge. The same version fixes the button used to close windows: after an AI Assistant action (e.g. “create a task”), the X button disappeared from Settings and forms for the rest of the session, leaving only “Close” in the footer.

Automations: ready-made templates for specific scenarios

Automations is a module included in the Pro plan (along with Mail and Files). If you have it, you now start with a catalogue instead of a blank Recipe.

Catalogue of ready-made Recipes (2.2.364). The menu under the “+” button in the Automations window divides the templates into five categories: Sales and leads, Mail and documents, Customer service, Team and due dates, Management and review. Seven new scenarios have been added:

  • lead from a form → note containing an AI report in the Leads folder;
  • new lead → follow-up task due tomorrow;
  • invoice from an email → Invoices / year / month folder (folders are created automatically);
  • case documents (based on the reference number in the subject) → archive in Files;
  • complaint → urgent task with a notification;
  • incident reported in a chat (“incident”, “urgent”, “not working”) → high-priority task;
  • AI-written Friday summary of the week posted to a selected chat.

A template opens as an unsaved draft: complete one or two fields (your Workspace, chat or reference number) and enable it. The screenshot above shows the “Lead from a form” template from the Sales and leads category - it is still disabled, but the AI condition already includes a description of what counts as a lead and what counts as a newsletter or invoice, so you do not have to create it from scratch.

An email creates a task automatically - and stays linked to it (2.2.363). The “WHEN new email → create task” Recipe handles the entire enquiry in one go: a task with a due date and assignee, an AI summary in the task thread and attachments in Files. The task header includes a badge with the email subject - one click opens the original correspondence. The badge is only visible to the inbox owner; the rest of the team works with the task, not the email. We have described the entire scenario in Email creates a task.

Internet access in Automations too (2.2.353). The “Write an AI message” block can retrieve content from a web page while it runs - a lead automation can check the customer’s domain itself and take it into account during evaluation. This requires the Recipe owner to have internet access permission and is subject to stricter limits than the AI Assistant window (a maximum of 2 retrievals per run); each additional AI round uses part of the daily Automations budget.

Notes created by Automations look like reports, not text dumps (2.2.345-2.2.355). Several changes that make a real difference together:

  • the “Create note” action has a “folder” field - use a slash-separated path and date variables, and any missing folders are created automatically;
  • the {{ai.odpowiedz_html}} variable inserts the output of the AI block with formatting (bold headings and lists), while {{ai.naglowek}} contains the first line of the report, so the note is called “Nordbud - Anna Kowal” rather than being named after the date;
  • AI blocks read HTML emails from contact forms (previously, they received no content and “analysed” only the sender’s address); the content limit has increased from 500 to 4000 characters.

Example: Tomek runs a bicycle parts shop and has a form on his website. Until the end of August, his “lead analysis” Recipe did not perform any action because the AI block had nowhere to send its output - an email is not a chat. Since 2.2.345, the block’s output can feed into a note, notification or email - we have described the full scenario separately.

Mail: new emails appear automatically

A new message is added to the list in the middle column without refreshing the page (2.2.358). Previously, a notification arrived, but the email only appeared after reloading. Now the list and the open Mail window update automatically during the next notification check - even if email notifications are disabled in your profile.

Board, Notes, Files and Calendar

Calendar and Board received their own fix in 2.2.367: the ghost image of a dragged item stays with the cursor, does not narrow the right-hand column or collapse the side panel, and the edge of the Calendar grid only scrolls the period after you pause over it. If you plan your week by dragging tasks from the list to the grid, this is the most important change on this list for you - previously, the gesture itself could collapse the side column and skip forward a day before the task reached its slot.

Mobile version: AI Assistant on your phone

Version 2.2.365 includes a package of fixes for phone screens:

  • The AI Assistant takes up the full conversation screen, while the thread list opens as an overlay using an icon in the bar. Previously, the conversation was squeezed into a thumb-width strip.
  • The sorting, visibility and search menus now always fit on the screen.
  • Notes work like Files: first you select a location in a full-screen view, then you see the list.
  • Longer notifications now appear on a full-width card instead of a pill that wraps the text across four lines.

Stability: one fix you need to install

If you rarely update, make sure you install version 2.2.357. Since 2.2.353, Automations with AI blocks can run for several minutes, and up to 2.2.356 they ran inside the request sent by the browser to check for notifications. In Chrome, this exhausted the connection pool and left the entire application stuck on “Loading…”. Since 2.2.357, the response returns immediately and the heavier work takes place in the background - its results appear several seconds later.

The second fix concerns the updater (2.2.347): after manually uploading a patch via FTP, none of the buttons in the Updates tab were active. They now work, and the “Blocked” button always displays the specific reason in a tooltip.

How to update

Updates are installed by an administrator under Settings → Updates. The application does not install anything automatically - it checks for new versions after you log in, and when one is available, the administrator sees a red dot on the cogwheel and next to the Updates tab, along with a short notification containing a “Show” button.

Step by step:

  1. Click the cogwheel → Updates → Check for updates. You will see the installed version, the code version on the server and a list of newer releases, each with a list of changes - as shown in the screenshot above.
  2. Click Download next to the following version. A backup reminder will appear - back up the database and the attachments folder uploads/ before confirming.
  3. The server will download the package and verify its checksum. For most releases, an Install button will appear - the progress bar shows database migrations, file copying and finalisation, followed by Refresh application. No FTP required.
  4. Some packages must be uploaded manually - in that case, the application will save the .zip file to disk and display instructions. Do not overwrite includes/config.php, uploads/, storage/ or logs/.

Versions are installed in sequence - only the button for the next package is active, but not every version number is a separate package, so upgrading from 2.2.340 will take two or three steps. The installer does not modify your data or configuration, but a backup is still mandatory - it is your server and your data. Frequently asked questions

Does the AI Assistant with internet access use more of my API key allowance?

Yes, each downloaded page adds more content to the request sent to the model provider, so it uses more tokens than a standard question. That is why the permission is disabled by default, while automations are limited to 2 downloads per run and have a daily budget. You pay the provider directly, with no Task Manager mark-up.

I can’t see the catalogue of ready-made options or Mail. Why?

Automations, Mail and Files are available with Pro. Without access to Mail, email templates are hidden, while AI templates require an AI key to be configured in Settings.

Will updating from 2.2.340 to 2.2.367 delete my automation recipes?

No. The installer skips data and configuration. Existing recipes will continue to work; you can add the new variables ({{mail.tresc}}, {{ai.odpowiedz}}, {{ai.odpowiedz_html}}, {{ai.naglowek}}) to your existing templates whenever you want.

The app is stuck on “Loading…” - what should I do?

Check the version number. If you have 2.2.353-2.2.356 and AI automations enabled, this is a known issue fixed in 2.2.357. Until you update, you can use a browser other than Chrome or temporarily disable recipes containing AI blocks.
