What is Search in Task Manager?
Search in Task Manager helps you find an agreement when you remember what it said, but not where it was. The deadline was mentioned in a task message, the company name in a chat, and the case details in a task from three months ago. Search for a word and check the results without opening every thread one by one.
Search covers tasks, chats and messages. It checks task titles and descriptions, chat names, and message content. It searches all Workspaces you have access to and displays results immediately below the field, grouped into Tasks, Chats and Messages sections.
Access is checked at every stage of the query, not only when results are displayed. If you’re not an administrator, you’ll see tasks assigned to you and tasks in workspaces you administer. Other tasks won’t appear, not even as text snippets.
Exactly what you enter and what you get
The search phrase must be between 2 and 200 characters. Results are grouped into three sections: tasks, chats and messages.
The suggestions list shows up to 15 matches at a time - use a more specific phrase to find more. Each search also has per-type limits: up to 50 tasks, 20 chats and 50 messages. The programme combines results from three searches and sorts them from newest to oldest. Results may include text snippets with the phrase highlighted and around 75 characters of context. This helps you identify the right thread before opening it.
Encryption doesn’t exclude tasks or messages from search. The app decrypts and filters them in PHP. Messages marked as private to the AI Assistant are visible in search results only to the user associated with that private message. Archived tasks and archived chats are skipped.
What do you gain?
You don’t have to remember which task contained the decision. When a client comes back to an issue from months ago, all you need to remember is a word from that conversation - for example, a company name or order number. You don’t have to start by asking the team if anyone remembers the agreed deadline.
You also don’t have to check chats and tasks separately. You can find details recorded in a message later, without copying them somewhere else just in case.
A client calls with a question from six months ago
The client asks what deadline you agreed on for something discussed in the spring. You remember the conversation, but don’t know whether the agreement was recorded in a task or a team chat.
Enter a company name. Results may include a task with that name in its title, a chat with that name, and messages where it was mentioned. Each result shows a text snippet with the phrase highlighted - part of the description for a task, or the message content. If a date appears in the visible snippet, you can check it before replying to the customer.

Can I narrow my search to one Workspace?
No. Search always looks through all the spaces you have access to - even when a single workspace is selected in the left-hand column. Results are split into Tasks, Chats and Messages sections, and each one shows the name of the space it belongs to.
Can I find tasks in the archive?
No. Search skips archived tasks and archived chats.
