How does a marketing team work in Task Manager?

The marketing team runs several campaigns at once. One is waiting for graphics, another for copy approval, and a third is going live on Friday. Task Manager lets you keep a campaign, its materials and its publication date together with the Task - instead of scattering them across a spreadsheet, email and a desktop folder.

A campaign Task has a subject, a description where you can add a brief, a due date and assigned people. The due date has two separate optional fields: a date and a time. So you can enter either “publication on 12 March” or “publication on 12 March at 9:00”. Choose a status from four options: No status, In progress, Completed or Cancelled. When the status changes, a system message appears in the Thread: “First name Surname changed the status to In progress”. You can see who changed the campaign status.

The Board is a column view where each column corresponds to one Workspace. You can view spaces for paid campaigns, content and PR activity side by side. Each column has sections for Favourites, Tasks and Chats.

What you can see on the Board and where the materials are stored

Items on the Board are colour-coded by due date: red means the Task is overdue, blue means it is due today, and green means it is on schedule. Drag columns by their headers to arrange them in the order that suits your work. The layout is saved for you and restored the next time you open it. You can also drag items within a column. This changes only the display order, not the due dates. Dragging a campaign into the Favourites section adds it to your favourites; dragging it out removes it. Undo a mistake with the undo icon or the Ctrl+Z shortcut. This also applies to changes to favourites.

Materials end up in the Files module (Pro plan). Every task has its own folder, which is created automatically, even if it's empty. Files uploaded to a campaign's folder are visible to everyone involved in it. This also applies to images pasted into message content and drawings from the Draw window. Attachments from a conversation are read-only in Files - they can't be deleted or moved from there.

Preview images, PDFs and text files without downloading them, as well as DOCX and XLSX files in a text preview. MP4, MOV, WebM and OGV videos play in a window with playback controls. For AVI and MKV files, you’ll see a message that your browser can’t play them, along with a download button. You can sort files by name, date added, date modified, size and type. A folder tile shows how many files and notes it contains.

What do you gain?

You don’t have to ask for campaign updates in chat every Monday. You can see what’s overdue, what’s going out today and what’s still on schedule. It’s easier to start with the issues that need attention rather than first checking the status of every campaign.

You don’t have to ask again for a banner someone has already shared with the team. Materials stay with the campaign they belong to. That includes screenshots with suggested changes pasted into a conversation - no need to hunt through messages to find them.

You don’t have to rely on your memory to recall the contents of earlier materials when you return to a campaign. The AI Assistant can use your files as knowledge sources.

An everyday example

Three campaigns are due for publication in the same week. They appear together in one column on the Board. The first is green and has the status In progress. The second is blue - it’s going out today. The third is red because it was due yesterday. You open the last one. In the Thread, you see a system message: “First name Surname changed the status to No status”.

The campaign folder contains copy and one graphic. You drag the campaign into the Favourites section to show it in a separate section of the column. Then you upload the missing files to its folder. Campaign participants can find them in the Task folder without searching through their inboxes.

Frequently asked questions

Do I need the Files module?

The shared drive is available on the Pro plan.

Can the AI Assistant write using our materials?

Yes. You can connect a single file, your own folder or the “All my Files” scope as a knowledge source. You can only connect a folder of your own - the folder block includes its owner's files. The Assistant reads the contents of TXT, CSV, DOCX, XLSX and PDF files. If the text can't be extracted from a format, it is told that the content is unavailable. For a folder, it receives a list of its contents and the contents of subsequent files, up to 20,000 characters.

Are campaign materials private, or can the whole team see them?

Files are private by default: they're visible to their owner and the people they've been shared with. A task or chat folder is a shared space, so files uploaded to a campaign are visible to all its participants. Files in your private subfolders within a campaign remain private.

Can I set a custom order for campaigns on the board without changing their due dates?

Yes. Dragging items within a column only changes their display order. Dates and times remain unchanged. The order is saved for you, and new campaigns are added at the end according to the current sorting.

Do board filters affect the task list view?

No. The Board has its own filters and sorting, independent of the middle column. Each of its menus starts with a Reset row, which clears only the Board settings.
