Task Manager can keep your private work log: what you created, what you changed and what you viewed (sessions spent viewing tasks, chats and notes). This gives the AI Assistant context about your work and allows the application to suggest things you may have missed.

What is recorded

  • tasks created and edited, status changes, messages sent, files uploaded, notes and events created, and new Workspaces,
  • viewing sessions: opening a task/chat/note and the approximate time spent working on it (one entry per session, not for every refresh).

The log stores links and titles only. Entries older than 90 days are deleted automatically.

What we NEVER record

  • the content of messages, notes or emails,
  • mail (the Mail module is excluded from the log entirely),
  • searches,
  • actions performed by automations or integrations (n8n) - the log answers the question “what did I do?”, not “what did the scripts do?”.

Privacy

Your history is completely private - no one but you can see it, including the administrator. A summary of your history (not the raw log) is included in the AI Assistant’s system prompt, which is sent to the AI provider configured in the application - just like your AI preferences.

Settings (Profile → Activity History)

  • Record my activity history - the main switch for the log.
  • Show suggestions from my history - suggestions calculated by the application itself (without sending anything to the AI provider); independent of the administrator’s AI suggestions based on conversations.
  • Show recent events - view the 50 most recent log entries.
  • Clear history - permanently deletes the entire log and the Assistant’s summary.

Exclusions

In the “⋯” menu for a Workspace, task, chat or note, you will find the “Do not record my activity here” option. Excluding a Workspace covers all its tasks, chats and notes. Click it again to remove the exclusion. The exclusion applies only to you and does not affect other members.

Suggestions from your history

The Notification Centre can suggest up to three of the following at a time:

  • an “in progress” task that no one has worked on for 10 days,
  • a thread abandoned after a period of activity from you,
  • a mention of you that has been waiting for a response for more than 2 days,
  • a daily routine that has not yet been completed today.

These suggestions are calculated by the application itself - they work even without AI configured and do not send anything externally. You can disable them under Profile → Activity History → “Show suggestions from my history”.

Suggested automations

When you repeat the same routine for at least 3 weeks (a weekly task, a daily note or a message after a status change), the application will suggest a ready-made automation. Clicking the card opens the Automations editor with a draft that is unsaved and disabled. You review, amend and save it yourself; the application never enables a Recipe for you. This feature requires a plan that includes Automations.
