Task Manager uses a licence key that specifies:

  • the maximum number of users (active seats),
  • the validity period (the date until which the licence remains valid).

The key is entered during installation or later by an administrator (for example, when increasing the number of seats or renewing the licence).

Read-only mode

If the key has expired, is invalid or has not been entered, the application switches to read-only mode:

  • you can view all existing tasks, chats, messages and files,
  • you cannot create or edit content (new tasks, chats, messages, reactions or attachments),
  • a red bar showing the licence status appears at the bottom of the screen.

To unlock the application, an administrator must enter a valid licence key.

Checking the licence status (administrator)

  1. Click the cog icon (⚙) → the Advanced tab → the Licence section.
  2. You will see:
    • Status - Active / Expired / No key / Invalid,
    • Application version - the version stored in the licence key (or “-” if the key does not include one),
    • Seats - number of active users / limit,
    • Valid until - expiry date (or “perpetual”),
    • Company - the company the licence was issued to.

Entering / changing the key (administrator)

  1. Open Settings → Advanced → Licence section.
  2. Paste the key you received into the New licence key field.
  3. Click Save and activate.
  4. Once successfully verified, the application will be unlocked and the page refreshed.

An expired or invalid key will be rejected with an appropriate message - it will not overwrite a working licence.

Plans: Standard and Pro

The licence is available in two plans; you can see your current plan under Settings → Advanced → Licence section.

  • Pro - all application features.
  • Standard - excludes three modules: Mail (email client), Automations and the Files view (shared drive). They are removed from the interface along with their Help Centre sections; the paperclip next to a message lets you add files directly from your computer.

Important information about the Standard plan:

  • Attachments in tasks, chats and notes work as normal - the restriction applies only to the shared drive, not to files attached to conversations.
  • Email notifications (SMTP) work as normal - “Mail” refers to the module for receiving and sending emails, not notifications.
  • Nothing is deleted. Mailboxes, automation recipes and files remain in the database; automations are paused, not deleted. Once a Pro key is entered, everything returns to its previous state - with no need to configure it again.

To upgrade to Pro, simply enter a new licence key (see the section above) - the features are enabled immediately, with no application update required.

User limit

  • A seat is taken by an active user (once their account has been activated).
  • Once the limit has been reached, adding or activating another user is blocked and a licence limit message is displayed.
  • To increase the number of seats, enter a new key with a higher limit.

Expiry warning

When the licence has 14 days or less remaining, an amber renewal reminder appears at the bottom of the screen.
