Every task and every chat has its own To-do list - an organised list of things to do, with headings, colours and assigned people. The feature is available in the Pro plan.
How to open it
In the task or chat bar, click the list icon - the first one on the left, before the paperclip. The conversation and the message field hide, and the list appears in their place. To go back to the conversation, click the same icon again. When you move to a different task, the conversation always opens.
A small number on the icon shows how many items are still to do. When everything is done (or the list is empty), there's no number.
Items
- Add item - click "+ Add item" at the end of the list or section. Enter a name, and below it an optional description (shown in smaller, grey text). Enter saves, Esc closes. After adding, the field stays open, so you can enter the next items right away.
- Colour - the "Colour" button in the add or edit field, or in the item menu (⋯). The colour shows as a circle next to the item - the same palette as in the Calendar.
- People - the "People" button lets you assign one or more people to the task or chat. This is just an indication (who's handling it) - it doesn't send notifications.
- Done - click the circle next to the item. The item is struck through, and the progress bar at the top shows how many items are completed, e.g. "3 of 7 done".
- Editing - click the item's text or the pencil icon.
- Deleting - item menu (⋯) → Delete. The app always asks for confirmation.
Headings
Headings divide the list into sections. Add them via the "+ Add heading" line at the top of the list and between sections (shown on hover on a computer), or from the item menu: Insert heading above. Next to a heading you can see how many of its items are done. Deleting a heading doesn't delete the items under it - they join the section above.
Order
You drag items with the mouse (grab an item and move it) - including into another section. On a phone, hold an item for a moment, then move it with your finger. Dragging a heading moves its entire section (in list view).
View: list or board
The List / Board switch is at the top. On the board, each heading is a column, and items are cards - you can drag them within a column and between columns. You can move an entire column (a heading with its items) by grabbing its heading and dragging it sideways. Items before the first heading go into the "No heading" column. Add a new column with the "+ Add heading" button on the right.
The view options icon (next to the List / Board switch) has two settings:
- Show completed - turning this off hides completed items (the section shows how many are hidden),
- Completed at the end - completed items move to the end of their section.
The app remembers the view and both settings for you.
Who can change the list
Anyone with access to the task or chat can see and change the list. A task observer has view-only access - they can't add, edit or tick off items. Other people's changes appear on an open list on their own, after a few seconds.
AI Assistant
The AI Assistant sees the To-do list of the task or chat you ask about - you can ask, for example, "what's left to do in this task?" or "who's assigned to items in the Content section?". The Assistant only reads the list - it doesn't change it.
This isn't the same as a list in the text
Checklists written into a message's content or a task description work as before (see the "Tasks" chapter). The To-do list is a separate place attached to a task or chat.
