What is a Workspace?

A Workspace is a separate work area that groups tasks and chats for a particular project, team or topic.

Creating a Workspace

  1. Click the “+” button next to “Workspaces” in the left-hand column.
  2. Enter the Workspace name.
  3. Click “Save”.

You can also ask the AI Assistant: “Create a Workspace called X” - it will open the form with the name filled in.

Each Workspace is shown as a card with its name, while the number on the right indicates the number of unread tasks and chats. When everything has been read, the number disappears - the list clears itself up, so you can immediately see where work is waiting. The name of a Workspace with unread items is white and bold. The total number of tasks and chats is shown in a tooltip when you hover over the card.

The selected Workspace has a blue border; the “Everything” item at the top (with a dashed border) shows everything at once and adds up unread items from all Workspaces.

Tasks and chats moved to the bin (archived) are not counted anywhere - either as unread items or in the total shown in the tooltip. The numbers always match what is visible in the list.

Editing a Workspace

Hover over a Workspace card in the left-hand column - the icon on the right will become highlighted. Click it to open a menu with two options: Edit Workspace and Delete Workspace. The icon only appears next to Workspaces you manage; on phones and tablets, it is always visible without hovering. To close the menu, click outside it or press Esc.

Deleting / archiving a Workspace

The Workspace editing window includes an option to archive it. Archived Workspaces disappear from the main list, but their data is retained.

Workspace permissions

Each user can have different permissions in different Workspaces:

  • Workspace admin - full control: adding/removing members, changing settings and deleting items
  • Creating tasks (create_task) - can create new tasks
  • Creating chats (create_chat) - can create new chats

The global administrator has full permissions in every Workspace without exception.

Adding members to a Workspace

Hover over the Workspace name in the left-hand column and click the pencil icon (edit). In the editing window, under “Assign users”, tick the checkboxes next to the people who should have access and set their permissions (Workspace administrator, creating tasks and creating chats). Save your changes.
