What is the problem with enquiries in the inbox?
Client enquiries arrive by email and stay there - until someone manually copies them to the Task list. In Task Manager, an automation rule turns a message into a Task with a due date and an assignee, then saves the attachments in the case folder.
How does it work?
- 01
The rule monitors the Shared Inbox for new messages.
- 02
The condition - either a simple filter or an AI evaluation - identifies the message as an enquiry.
- 03
A Task is created with a subject, description, due date and assignee.
- 04
The attachments are saved in the folder, and a note is added to the Thread automatically.
What do you gain?
Nothing is missed: the enquiry is on the list, not just in the inbox.
Faster response times: the Task has a due date from the first minute.
Less copying: your team gets on with the work instead of transferring content.
An everyday example
A service team receives a fault report by email at 7:40. Before anyone opens the inbox, a task with the address and due date is already waiting on the technician's list, and photos of the fault are in the request folder.
