What's the problem with scattered project steps?

A project, a new company website for example, is dozens of small steps. Some arrangements stay in a conversation, some in a spreadsheet, and some in somebody's head. When the boss or the client asks how much is left, someone has to go through the thread, call round the team and work it all out again from scratch.

In Task Manager, in the Pro plan, every task and every chat has its own To-do list. The list sits right next to the project conversation, so the steps and the arrangements are in one place.

What does a project To-do list look like?

The list icon on the task bar, before the paperclip, hides the conversation and shows the list. A small number on the icon shows how many items are still to be done. You write project stages as headings, with items underneath them. For each item you can add a description, a colour and the person assigned to handle it. Assigning someone doesn't send any notifications.

A checked-off item gets struck through, and the progress bar at the top shows, for example, "3 of 7 completed". Next to each heading you can see how many items in that stage are done. The List / Board switch turns the headings into columns. You move cards between stages with the mouse, or on a phone by pressing and dragging with your finger.

Task Manager: project To-do list in board view with cards assigned to people.
To-do list as a board: headings become columns, a card moved to the technical stage, progress calculated automatically.

What do you gain?

You answer a question about the project stage with a single glance. The progress bar and the counters next to the headings show it without any counting.

Everyone knows what they're working on, because the person is shown next to each item. No need to ask on chat who was supposed to prepare the photos.

The whole team works on the same list. Other people's changes appear on an open list within a few seconds. Someone watching the task sees the progress but can't change anything.

The AI Assistant reads the To-do list of the task you're asking about. Ask it, for example, what's left to do in the project, and it will answer with a list of open items and the people assigned to them. It doesn't change the list.

Use case: an agency and a client's new website

The agency has a task called "Website project" in Task Manager. Ola sets up a To-do list in it with the headings "Content" and "Technical". For gathering the texts she assigns Magda, for the contact form she assigns herself. The item about photos gets a colour and the description "Studio shoot, light background".

Partway through the work, the client asks for redirects from the old site. Ola adds an item under "Technical" and assigns Magda. On the board she moves the text-checking item to the technical stage, since the texts are already on the site. On Friday the client asks about progress - Ola opens the task and reads off the bar how many items are done.

Frequently asked questions

No, this is a Pro plan feature.

Can I have a separate list for each task?

Yes. Every task and every chat has its own To-do list.

Does the assigned person get a notification?

No. An assignment just shows who's handling the item. You can only assign people already assigned to the task or chat.

Can a client with observer access tick off items?
